Before we meet, we will look at what we can see publicly and come prepared with a first view of your awards year. Then on the call, we will walk through it together.

What we’ll walk through on your Awards Season Preview

Watch this quick 2–3 minute walkthrough before the call.

THIS IS A WORKING MAP SESSION, NOT A TROPHY QUOTE MEETING

The goal is to understand how awards currently run across your association, where the pressure usually appears, and what should be handled earlier.
 

We will look at your programs, presentation dates, current award types, rough quantities, current spend, and any areas that usually get messy.
 

By the end, your awards process should feel clearer than it did before the call.

That is the win.

WE MAP THE AWARDS IN TWO LAYERS

First, we map the awards calendar.
 

That includes the main programs, presentation dates, drop-off dates, and when the order should actually kick off.

Because presentation day is not the real deadline.
 

The real deadline is earlier.
 

Then we map the awards breakdown.
 

That includes who receives awards, what type of award they receive, roughly how many are needed, what you currently spend per award, and what usually gets left late.
 

Once we can see that, we can see where the pressure sits.

IF YOU ONLY KNOW ONE THING, KNOW YOUR ROUGH SPEND PER AWARD

This is the biggest shortcut.

Examples:

  • Junior Domestic custom medals are around $5 each

  • Senior Domestic winner awards are around $20 per player

  • Rep awards are usually around $15–$30 each

  • Perpetual or major awards are usually around $50 each
     

It does not need to be exact.
 

A rough number is enough.
 

That helps us compare properly, recommend properly, and avoid guessing.

BRING ANYTHING USEFUL IF YOU HAVE IT

You do not need all of this.

But if you have any of the below, it can help us map faster and quote more accurately:
 

  • rough spend per award

  • photos of past awards

  • past invoices or order confirmations

  • current award lists or spreadsheets

  • logo files or old artwork

  • key presentation dates

  • Photos are especially helpful.
     

If we can see what you currently use, we can quote like-for-like or show you where a better option may exist at a similar budget.

THE BEST PERSON IS WHOEVER UNDERSTANDS HOW AWARDS ACTUALLY HAPPEN

That might be the CEO, GM, Program Manager, Competitions Manager, Operations Manager, Administrator, or someone else closest to the awards detail.
 

If you are the CEO or GM, it may help to invite the person who knows the day-to-day awards process.
 

If you are the Program or Competitions Manager, you are probably the right person to start with.
 

We will also work out who needs to be involved next if the Preview shows there is a better way to manage awards.

BRING WHAT YOU HAVE. WE WILL WALK THROUGH THE REST

Rough numbers are fine.
 

Photos are helpful.
 

Past invoices are helpful.
 

Award lists are helpful.
 

But the main thing is that we get the awards process out in the open.
 

Once we can see the year, the programs, the deadlines, the quantities, and the spend, we can see where the pressure sits.
 

And once we can see the pressure, we can work out what should happen next.
